When you interact with me via email, phone, in person, online or by mail, I sometimes receive personal information about you. This privacy policy provides clear information on what information I keep, why, for how long and how it is kept secure.
What information do I hold about you?
Personal information means any information that may be used to identify you, such as your name, title, phone number, email address or mailing address. You can browse my website without giving away any personal information.
I may collect the following information:
• name and job title
• contact information such as email address, business address, telephone number, social media details
Why do I hold information about you?
Either because you’ve consented for me to do so, with a consent email, or because I’m contracted to work with you.
I require your details to correspond with you in connection with projects we are working on together and better understand your needs. I may also use your details to send you invoices or follow up on any necessary administration. I may occasionally write to you on the basis of legitimate interest such as advance notification of any unavailability dates, to receive updated showreels or to request permission to showcase a piece of work.
Where appropriate and with permission, I like to share examples of my work on my website and social media channels in order to help promote my business. Where material is already in the public realm (ie. YouTube), I will interpret this to mean that sharing is OK unless I am informed otherwise. If you wish me to remove a piece of work, please email privacy@audiocaroline.com.
I do not sell or exchange mailing lists. I will only send email marketing material on the grounds of legitimate interest to the following:
Occasionally, a regular client who may find the detail helpful
A business which has asked for details of my services
A business whose details are available freely via the internet, and whom I have targeted due to their use of voiceover services.
I will never sell your contact information, or share it with others, for any purpose other than to conduct our mutual business.
I will never share or sell any confidential personal information with other companies or individuals, unless I am required by law to do so.
How do I collect information about you?
I may collect information about you whenever you interact with me, whether this is discussions pertaining to projects via email, a business enquiry through the website or by phone. For example, information may be held to assist when you enquire about my business, work with me or otherwise give me any other personal information.
How do I keep your information secure?
Emails sent directly to my email address are not encrypted (beyond any encryption that may be provided by your ISP or email service provider).
If you need to send confidential material or other information you would prefer to ensure its privacy, please contact me first – or send your information as an encrypted and password protected ZIP file.
I will keep necessary details on file for accounting administration for at least 5 years in line with HMRC requirements.
Your consent
Under the Data Protection Act 1998, you may request details of personal information that I hold about you. A small fee will be payable to cover administrative costs. If you would like a copy of the information held on you, please email privacy@audiocaroline.com
